Position Title: Athletics: Donor Services Coordinator
Department: 8911F|General Athletics-Foundation
Responsibilities:
The Donor Services Coordinator reports to the Executive Director and leads the customer service efforts for the Ragin' Cajuns Athletic Foundation (RCAF). This position will also attend and assist with athletics department games/events, donor events and other department functions as assigned. Will be required to work occasional evenings and weekends throughout the year.
Job Tasks & Responsibilities
- Develop and implement strategies to provide outstanding customer service to RCAF Investors and potential Investors
- Answer phone calls, check voicemail, and respond to emails for the main RCAF lines/accounts in a positive, upbeat, customer-friendly way
- Greet and serve RCAF Investors who visit the office in a positive, upbeat, customer-friendly way
- Build relationships with RCAF Investors and work with Advancement Operations to ensure accurate donor records and gift processing
- Update and monitor the RCAF operating budget throughout the year
- Accurately complete paperwork and forms for paying invoices, documenting gifts or pledges, and other assignments; Route paperwork for signature approvals
- Follow all University and Office of Development policies, procedures and guidelines
- Assist RCAF staff members with paperwork to reconcile their purchase cards
- Assist RCAF staff members with calendaring/scheduling meetings and personal travel arrangements
- Assist the Director of Donor Relations with donor travel and special event activities
- Assist the Director of Donor Relations with donor benefit fulfillment activities and mailings
- Order office supplies and stationery
- Maintain accuracy of records by providing updates to donor database; following data policies and guidelines for requesting reports and use of data
- Assist the Executive Director with administrative duties
- Work with Executive Director to set individual performance goals and priorities annually
- Actively participate in RCAF and Office of Development staff meetings and retreats
- Other duties as assigned
Qualifications:
- A Bachelor's degree is required, but can be substituted for six (6) years of full-time work experience, or a combination of work experience and college education
- 1-2 years of experience, with a preference given to a background in customer service
- A strong affinity toward and understanding of intercollegiate athletics, including an interest in enhancing the student-athlete experience through philanthropy
Knowledge, Skills, & Abilities
- Excellent computer, verbal and written communication, as well as demonstrated organizational skills necessary
- Superior interpersonal and collaborative skills
- Capable of crafting professional documentation
- Proficient with Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Task-oriented and self-motivated with ability to work independently and part of a team
- Ability to both prioritize given assignments, multi-task effectively and meet deadlines
- Ability to handle sensitive and confidential information with discretion
